As a new customer going through Nomos One's Onboarding Process, you will hear about what we refer to as the “UAT Period” throughout your time with the Onboarding Team. This article will explain what the UAT Period comprises of, what access you will have during it, and how you can help with the process.
What is the UAT Period?
Once all of your data has been Onboarded into the Nomos One system, you will enter what is known as the User Acceptance Testing Period - more commonly referred to as the “UAT Period” or simply “UAT”. This is comprised of 10 business days during which you are granted Read Only access to your Organisation and have a chance to sift through all of the information that has been onboarded on your behalf. If you are unhappy with anything, whether that be formatting, layout, data entry, or notice any mistakes in your figures, this is the time to let your Lead Onboarding contact know so that the appropriate amendments can be made.
About Read Only access
What can I do with Read Only access?
Read Only access allows users to view information that is saved in your Organisation. You are also able to pull reports from our Reporting suite.
Please note: With this Permission level, you are unable to create, edit, or delete any of the data.
For more information on the different Permission levels, you can check out this article.
Why do I only have Read Only access?
We grant users Read Only access during the UAT Period to preserve the data that has been Onboarded. If there are any variances or discrepancies, we are able to investigate and deduce exactly what might be going wrong, without risk of the data being tampered with. This makes the conclusions from our investigation more reliable.
How can you help?
The UAT Period is an opportunity for you, as the customer, to shape and enhance the project according to your vision. It is a chance to go through all of the onboarded data in great detail. Bear in mind that the more information you provide, the more rewarding and beneficial your experience with Nomos One will be.
Where to start for Lease Portfolio Management:
- Check on naming preferences
- Check Custom Fields
- Check Properties and Entities
- Advise on any hierarchies you want added and/or removed
We recommend that you utilise our Contractual Reports to check this data. These reports include Portfolio Reports, Property Reports, the Entity Report, Custom Agreement Report, and the Events Report. They allow you to view the real time data in your portfolio based on the status of past and future Events. You should be able to tailor at least one of these reports to your information requirements. For more information about Contractual Reporting, check out this article.
Where to start for Financial Reporting:
The most effective way to compare variances is by using the Agreement Balances Report. This report offers a breakdown of the Right of Use Asset (ROUA) and Lease Liability accounts for each Agreement as of a specified date. It allows you to compare your data and calculations with those resulting from the onboarding process, helping you identify any information that may have been missed. Additionally, the output allows you to pinpoint any discrepancies arising from changes to accounting judgements, or any important dates that may have been missed or incorrectly onboarded.
Please note: The Agreement Balances Report is located in One Lease. If you have not accessed One Lease before, you can find instructions here.
Also: When running the Agreement Balances Report, you will need to set an end date. We recommend this being the date that you will reconcile the variances or the day prior to when you plan to start using the Nomos One system.
If you need more details about any variances found, you can run a Journal Report to inspect each entry on a deeper level.
What will the Onboarding Team do during this time?
The Onboarding Team will be working their magic behind the scenes, taking all of your comments on board and making them work within the system. If any additional information is required, they will be in contact with you via email.
If necessary, the Onboarding Team may schedule a Microsoft Teams call to discuss any particularly complex discrepancies they come across.
Please note: We will no longer be accepting new agreements or adding any new custom fields during this period, as this time is purely dedicated to amending errors. We greatly appreciate your understanding with this.
