The Journal Report in OneLease (Beta) provides a detailed account of financial transactions by Agreement. If you've assigned GL Templates complete with GL codes to your Agreements, you'll also see the relevant Account Numbers populate for each transaction.
Generating your Journal Report
To generate your Journals:
- Select whether you want to report on All Agreements, or filter your Report using Selected Agreements or Filter Groups.
- Record the Start and End of the Reporting Period using the Calendar tool, typing the date manually (using the date format mm/dd/yyyy), or by using the Relevant Date Picker to choose from existing date ranges.
- Select the Rollup interval you would like to apply. This will determine how frequently you see the movements of key balances such as Lease Liability and Right of Use Asset.
- Use the Column Builder tool to customise the columns that will appear in your Journal.
- Click Run Report.

Is your report taking a while to load? You can click on the Email me button while your Report is loading and we'll send you an email when your report is ready to go!
Once your Journal Report has generated, your Agreements' individual journals will stack on top of each other.

If you're generating a journal that contains more than 1000 entries, the system will just display the first 1000 rows to improve your experience. Journal entries are displayed across numbered pages, each showing up to 100 rows. You can click to view each page, up to 1000 rows.

When the report output contains more than 1000 entries, you will need to download the report to view the full output.

Customising the report using the Column Builder

Checking the Reporting Logs
Remember to check your report's Logs. The Logs will show you if there are any errors which may be preventing your Agreements from displaying in the report you've generated.

Downloading your Journal Report
- Click the “Download” button at the top of your Report.

- Select the Format you would like to download the report into, either CSV or Excel (.xlsx).

- Click Download CSV or Download Excel (depending on the format you've selected in step 2).

- The system will prepare your report. This may take a moment depending on the size of your portfolio. You will see “Preparing Download” and the following pop-up to confirm that it is being prepared.

Once downloaded, your report will be ready to open!
Saving a Preset of your Journal Report
If you would like to save a particular configuration you've created for your Journal Report, you can do this by saving a Preset of your report. Saved Presets are available for anyone in your Organisation to use at any time. Check out how to do this here.

What's different about the Journal Report in OneLease (Beta)?
Besides the fresh layout, there are a couple of extra changes to be aware of when using the Journal Report in OneLease, compared to using it in Nomos One:
- We've expanded our Filters! Make sure you review our Filter guidance when generating your report.
- There's no need to calculate how many months come between the Start and End Date as we now have an End Date calendar. Simply use the calendar to input the End Date, then select your Rollup interval.
- It's no longer mandatory to have a GL Template assigned to an Agreement in order to run the Journals for that Agreement. If you've attached a GL Template to your Agreement, you'll automatically see your account numbers from your GL Template populate in your report. If you haven't assigned a GL Template to your Agreement, you'll still be able to run the Journal Report, but you won't see any Account Numbers populate for that Agreement.
- Because GL Templates are no longer mandatory, you don't need to add GL Templates as a step in generating your Journal Report. This information will pull through automatically, if included in your Agreement.
- If you want to add, remove, or customise the columns that appear on your report you'll now do this before you click Generate. We've also given this section a design refresh!
- We've made downloading the report more flexible - you'll be able to select whether you export in CSV or Excel format, as well as customise how different currencies are exported.
- Saving report templates has been made easier with the Relevant Date Picker and Save Preset Reports features. You can now create reporting configurations with specified dates to make your reporting more efficient.
