The ability to create Custom Data Fields in your Organisation brings greater personalisation to your portfolio. Adding Custom Data Fields to your Organisation allows you to capture additional information specific to your reporting requirements. Custom Fields can be set up for Entity, Property, and Agreement records.
Create Custom Data Fields
To set up Custom Data Fields in your Organisation:
- Navigate to the Custom Data tab of the Settings Console.
- Click “Add Agreement/Property/Entity Field”.
- Under Column Name, record the name of the field you want to create.
- Using the Display Type drop down bar, select whether you want to create a Text Box, Text Area, or Date field. A text box field displays space for around 5-10 words, whereas a text area field displays space for around 3-5 sentences. A date field provides a drop-down calendar tool, allowing you to choose a date.
- Leave the “Include” bar toggled to “Yes” to ensure this field is displayed in your Organisation.
Custom Data fields are displayed on the Agreement/Entity/Property creation space in the order they were created on the Custom Data page of the Settings Console.
Which should I choose?
Agreement, Property, or Entity custom data fields?
From a reporting perspective...
If you create Custom Data fields for Property records, these are only included in the Property-focused Reports. Similarly, with Custom Data added for Entity records, these are only included in the Entity-focused Reports.
Custom Data fields created for Agreement records will pull through to a greater number of reports, including the Custom Agreement Report, Portfolio Detail Report, and Payments by Period report. These fields will also pull through to the Journal Report in Nomos One, and the Agreement Balances Report and Journal Report in OneLease.
When running any of the mentioned reports, make sure to open the “Columns” and “Column Builder” sections when running the reports in Nomos One and OneLease respectively, in order to add the custom data to the report output.
All fields will appear in the Advanced Custom Report.
From a visibility perspective...
We recommend you enter information in the location where your team would expect to see it. If the information you want to capture relates to the property/asset being leased, custom data fields for Property records will provide the information at the bottom of the Property record:
If the information you want to capture relates to one of the parties to your Agreement, custom data fields for Entity records will provide the information at the bottom of the Entity record:
Custom Fields added to Agreement records will provide information at the bottom of the Agreement Overview once an Agreement has been created:
Populate Custom Data Fields
Once you've created Custom Data Fields, you can populate them with information. You can do this for every unique Agreement/Property/Entity record created in the Organisation.
If you've created custom data fields for Agreement records, you can manually populate these fields by going to the bottom of the "Other" page of the Agreement creation process. These fields will be available on existing Agreement, and when creating new Agreements.
If you've created custom data fields for Property records, you can manually populate these fields by clicking on the “Edit” button of the property record, then on the “Custom Data” tab. This tab is accessible on existing Property records, and when creating new Property records.
If you've created custom data fields for Entity records, you can manually populate these fields by clicking on the “Edit” button of the entity record, then on the “Custom Data” tab. This tab is accessible on existing Entity records, and when creating new Entity records.

Remove Custom Data Fields
If you need to delete a Custom Field from your Organisation, click “Remove” beside the field you wish to delete.
Warning: Removing a Custom Data Field will erase all existing data added to that specific field across your Agreement/Property/Entity records. This action is irreversible and we are unable to recover the deleted data.
